Navision makes it possible to limit users to posting within specified time frames. This helps to prevent errors occurring with back/forward posting during closed accounting periods. Despite this it may be necessary, once a month has ended, for certain users to continue positing into the closed period. Therefore, Navision allows company’s to choose what periods users are allowed to post into.
General Posting Set Up
To set up general positing groups, these are posting periods that will apply to all users (unless specified otherwise in User Set Up), first select Department > Administration > Application Set Up > Financial Management > Finance and select the General Ledger Setup from the tasks menu.
When selected this will open the General Ledger Setup window where you will be able to select the posting period. Usually this will be the current month as the majority of users will be working with information relating to this time, to do this select dates in the Allow Posting From and Allow Posting To fields.
User Posting Set Up
As previously mentioned, it may be necessary for certain users to back or forward post (depending on their role). You can set up a posting period for individual users that will override the posting period determined in the General Ledger Setup.
To set up user posting; select Department > Administration > Application Setup > Users. As pictured below the posting “from” and “to” periods are blank, this means that the General Ledger Setup dates are currently being used for this user.
Specify user posting periods by right clicking the user and selecting Edit List.
For the purpose of this example we will assume that the user depicted needs to post invoices for the previous month, January (Closed). So, in the User Setup window select Allow Posting From and Allow Posting To, to the relevant periods.
After selecting OK we can seen that these dates have been applied to enable this user to post within January and February while other users are only able to post in February, as per the General Ledger Setup.
NB: It is important to note that a common error message experienced by users of Navision “Posting Date is not within your range of allowed Posting Dates.” is usually the result of User or General posting dates not having been updated.
